What is the conference schedule ?

Tuesday, May 12 – 2:00 PM – Exhibit set up begins. Hall closes at 8:00 PM
Wednesday, May 13 – 7:30 AM – Agent Free Day begins. Exhibit Hall open.
Wednesday, May 13 – 3:00 PM – Agent Free Day ends. Exhibit Hall closes.
Wednesday, May 13 – 5:30 PM – Medigap conference Welcoming Reception
Thursday, May 14 – 7:00 AM – 7 PM – Medigap National Summit program, Reception in Exhibit Hall
Friday, May 15 – 7:00 AM – Noon – Medigap National Summit
Friday, May 15 – 11:00 AM – Exhibit Hall Closes, Exhibitors must be out by 1:00 PM.

When are ads due for the conference printed program ?

Sponsors are entitled to an ad in the conference printed program.  We will want ads by Friday, March 10. Ads are placed in the program based on date received (by sponsorship level) so it pays to submit your ad early. We require a PDF with all fonts embedded. Size is 8.5 inches wide by 11 inches tall. You can bleed to the edges but please include crop marks. Keep type at least 1/4 inch from the edges. We will confirm receipt of all ads sent. Email them to jslome@medicaresupp.org.

Exhibitor Set-Up: When can exhibitors set-up?

Set-up can begin at 2:00 P.M. on Tuesday, May 12. We will keep the hall open until around 8:00 P.M. You can also set-up on Wednesday, May 13 starting around 7:30 A.M.

Exhibitor Information: What’s provided for exhibitors?

Booth spaces measure 10-feet x 10-feet. Single booths come with one front table and one rear table, plus two chairs. If you require additional furniture, see the SourceOne Exhibitor Information package for details.

Exhibitor Information: Where do I ship material?

NOTE: THIS INFORMATION WILL BE SENT OUT IN EARLY JANUARY. Complete information is contained in the Exhibitor Information package. Make certain you have submitted the required credit card authorization form to SourceOne in advance of the conference to ensure your packages are waiting for you at your booth. Additional Signage: Are there additional opportunities?

YES. Sponsors (Gold, Platinum and Diamond) can take advantage of opportunities for signage that will help draw traffic to your booth. Call the Association offices for the package of information.

Free Day: What is the timing for the Free Day ? (Wednesday, May 13)

The free day access begins at 7:30 AM. Sessions start at 8:00 AM. The exhibit hall will open around 7:30 AM. The free day program ends at 3 PM and the exhibit hall will also close at 3:00 PM Click this link to access the schedule of sessions for the Free Day program.

Free Day: Do I get a list of attendees ?

NO. If you want information on attendees, we suggest you offer some sort of incentive such as a prize drawing. We do remind attendees of the free day to bring plenty of business cards. But, you might also have slips prepared where people can easily share their information.

Hotel Reservations: Rooms for Conference Attendees

The conference has basically reserved all the available rooms at the Renaissance Hotel which is attached to the Schaumburg Convention Center.  To check availability and reserve rooms click this link. IF ROOMS ARE NOT AVAILABLE we will be contracting for rooms at nearby hotels that will provide shuttle service for attendees. If nothing appears on the Association’s website, send an Email and we will notify you immediately when rooms become available.

Registration List: When will I receive the Conference registration list ?

Conference Registrant List: The list will be emailed to Sponsors (Gold, Platinum and Diamond) roughly 3 weeks prior to the conference. Exhibitors do NOT receive the list in advance of the conference but can purchase the listing for $1,500. Call the Association to request.

Taxi / Uber info for those flying into O’Hare or Midway ?

The Schaumburg Convention center is 12 or so miles from O’Hare (further from Midway) but regular “Chicago” taxis may charge a surcharge to take you from the airport.
